Choosing AI Tools Without Adding Complexity

A short checklist for evaluating AI tools so your software stack stays understandable.

Prefer what you already use

Many familiar business applications now include AI features. Before adopting a new product, check whether your existing email, document, or project tools already cover the need. Fewer logins and fewer vendors mean less to maintain.

Ask four plain questions

What specific task will this tool do for us? Who will own it day to day? What information will it see, and where is that information stored? How will we know it is working well?

If a vendor cannot answer these clearly, or you cannot answer them internally, pause before committing.

Protect sensitive information

Review how each tool handles the data you enter. Avoid placing confidential client details, financial records, or personal data into any service until you understand its terms and settings.

Plan for the people

A tool nobody understands will not be used. Set aside time for a short walkthrough and a shared set of example prompts or templates. Small amounts of training do more for adoption than additional features.
